Why Consistent Attendance Matters for Your Child’s Therapy
At Kids Place Pediatric Therapy, we know that life with kids can be unpredictable. Illness, transportation challenges, school events, and busy family schedules sometimes make it hard to attend every appointment. Cancellations happen, and we truly understand that.
However, consistent attendance plays a very important role in your child’s progress in therapy. We see firsthand how regular participation helps children develop new skills, build confidence, and reach their goals faster.
We’d like to share why consistency matters so much, explain our cancellation policy, and help families understand how attendance supports both your child’s growth and the care we provide to all families.
Consistency Is Key for Progress
Children learn best through repetition, routine, and practice. Therapy sessions are designed to build skills step-by-step through play-based activities that strengthen the brain’s connections.
When children attend therapy consistently, they are able to:

Strengthen sensory, motor, and emotional regulation skills
When sessions are missed frequently, it can slow progress. For example:
- Momentum can be lost. Skills that were just beginning to develop may need to be re-taught.
- Treatment plans may stall. Therapists need consistent sessions to adjust goals and introduce more advanced activities.
- Children with regulation challenges may struggle more. Many children benefit from regular sensory input to stay organized and ready to learn.
- Caregiver coaching is reduced. Therapy sessions also provide important time for parents to learn strategies to support their child at home.
- Your child is capable of incredible growth—but that growth happens best with steady and predictable practice.
Why We Have a 4-Hour Cancellation Policy
We know life happens. Kids get sick, cars break down, and schedules change. Our 4-hour cancellation policy simply helps us manage those situations in a way that supports all families.
Providing at least 4 hours’ notice allows us to:

Offer the appointment to another child who may be waiting for therapy

Adjust therapist schedules and treatment plans

Respect therapist time, since outpatient therapy sessions are scheduled specifically for each child
Without notice, that appointment time often goes unused and another child misses the opportunity to receive care.
Our goal is not to be strict—it’s to make sure every available therapy slot can help a child who needs it.
Why We Require at Least 75% Attendance
When a child is scheduled for a weekly recurring appointment, that time is reserved specifically for them.
To make therapy effective and ensure fair access for all families, we require at least 75% attendance for ongoing scheduling.
Maintaining consistent attendance helps ensure:

Your child is receiving enough therapy to make meaningful progress

Therapists can plan and deliver effective treatment

Other children waiting for services have access to available appointment times
If attendance drops below this level, it may mean that a weekly reserved time slot is not the best fit for your family’s current schedule.
How Attendance Affects Our Clinic
Behind every therapy session is a team working together to support children and families.
Frequent cancellations can impact the clinic in several ways:

Therapists lose income because outpatient therapy is billed per session

Open therapy slots may go unused when another child could have benefited

Clinic resources such as equipment, training, and staffing become harder to maintain

Administrative staff spend significant time rescheduling instead of supporting families in other ways
Consistent attendance helps us continue providing high-quality therapy, specialized equipment, and experienced therapists for the families we serve.

Our attendance and cancellation policies are not meant to punish. They are simply tools that help us provide consistent, effective therapy for every child in our care.
It’s also important to know that not having a weekly recurring time does not mean your child cannot be seen regularly. Many families do very well with week-to-week scheduling or being scheduled based on cancellations.
If your child loses a recurring weekly time due to attendance, they can return to one by attending six consecutive scheduled sessions without cancellations.
